Kenya School Timetable combines data setup, automated scheduling, conflict detection, reports, exports and secure school access in one workspace. The features are designed around the work a timetable master actually performs: collecting school information, checking its accuracy, generating alternatives, solving constraints and distributing the final timetable.
Automatic timetable generation
The generator uses the school’s teachers, classes, subjects, rooms, lesson allocations and time structure to build complete weekly schedules. Instead of filling hundreds of cells manually, users define the requirements and allow the system to test possible lesson placements. Three independent alternatives are produced so the school is not forced to accept the first result.
Each alternative receives a quality score. The score helps the timetable team compare schedules, but the school can still inspect every class and teacher before choosing the best option.
Teacher, class and room conflict prevention
The system prevents the same teacher from being allocated to two classes in one period. It also checks that a class receives only one lesson at a time and that a classroom, laboratory or workshop is not double booked. Teacher availability restrictions and fixed lessons are considered during generation.
Where the requirements cannot fit, the software provides warnings rather than hiding the problem. The timetable team can then correct availability, room assignments, lesson totals or other restrictions.
Workload and lesson-distribution checks
Teacher workload summaries show how many periods are assigned to each member of staff. This helps administrators identify overloads and unusually light allocations. Subject and class summaries show whether weekly lesson requirements have been entered completely.
Quality checks also consider the spread of lessons across the week. Schools can compare alternatives to avoid unsuitable concentration of one subject or too many demanding lessons in one part of the day.
Excel bulk import and validation
Schools with many records can download an Excel template and prepare teachers, classes, subjects, rooms and allocations outside the browser. The completed workbook is imported into the timetable workspace. Validation checks identify missing names, inconsistent references, capacity concerns and incomplete allocations before generation begins.
Manual entry remains available for smaller schools or later corrections. The two methods can be used together as long as records remain consistent.
Twelve professional timetable outputs
The platform generates individual class, teacher, classroom and subject timetables. It also creates summary timetables for those four groups, a complete lesson grid and wall posters for teachers, classes and classrooms. These outputs serve different users without requiring separate manual copies.
- Individual timetable for every class
- Individual timetable for every teacher
- Individual timetable for every classroom or laboratory
- Individual timetable for every subject
- Summary views for classes, teachers, rooms and subjects
- Lesson grid and printable wall posters
Excel, Word, PDF and CSV exports
Editable Excel workbooks contain organised timetable sheets for continued school use. Word exports allow authorised staff to adjust presentation where necessary. PDF provides a stable print-ready copy, while CSV supports portable timetable data. Schools can choose the format that matches the intended audience.
Cloud saving and revision recovery
Timetable work can be saved to the school workspace and reopened later. Recent revisions are retained so authorised users can restore an earlier version after an unwanted change. Backup exports provide an additional copy for school records.
School accounts and controlled access
Each school registers its own workspace. Login protection keeps timetable data away from ordinary website visitors. Team access can support principals, deputies, timetable masters and other authorised staff while maintaining the correct level of control.
M-Pesa Express premium activation
Premium plans are paid through M-Pesa Express. The user enters the phone number, receives an STK Push and confirms it on the phone. Access activates automatically after Safaricom confirms a successful payment. The M-Pesa dashboard records the transaction status for follow-up and reporting.
Frequently asked questions
Does the system guarantee a timetable?
It generates schedules when the entered requirements can fit the available periods, teachers and rooms. If constraints are impossible, validation and generation warnings show what needs adjustment.
Can we print only teacher timetables?
Yes. Teacher, class, room, subject, summary and poster outputs can be viewed and exported separately.
Can imported data be corrected?
Yes. Review validation results, correct the source workbook or edit records in the workspace, then generate again.
Are exports editable?
Excel and Word exports are editable. PDF is intended for consistent printing and sharing.
