This help centre covers school registration, data preparation, generation, exports, backups and M-Pesa premium access. Begin with the section that matches your problem, then return to the timetable workspace after making the correction.
Registering a school account
Open the school registration page and enter accurate school and account details. Use a phone number and login information that the authorised timetable team can access. After registration, keep the credentials secure and do not post them in staff groups or public messages.
Existing users should use the school login page. If the account cannot be accessed, confirm the username, password and website address before attempting repeated logins.
Preparing timetable data
Create the school week, classes, teachers, subjects, rooms and weekly lesson allocations. Check that every class has enough available periods and that teachers have realistic availability. Add laboratories and shared rooms only where lessons genuinely require them.
For large schools, use the Excel setup template. Keep headings unchanged and use consistent names across all sheets. For example, a teacher or class name must be written the same way wherever it appears.
Understanding validation warnings
Validation runs before generation and identifies incomplete or impossible information. A missing-data warning normally means that a teacher, class, subject, room or allocation has not been fully connected. Workload warnings show unusually high assignments. Capacity warnings show that the required lessons may not fit the available periods or facilities.
Correct the source data instead of trying to hide the warning. Accurate inputs produce stronger timetable alternatives.
When timetable generation fails
Start by checking the total weekly periods for each class. Then review teacher availability, fixed lessons, double lessons and specialist-room requirements. Too many fixed conditions can remove every possible placement even when the lesson totals look correct.
Reduce only unnecessary restrictions. Do not remove a genuine safety, staffing or facility requirement merely to force a result. Where capacity is genuinely insufficient, the school must adjust allocations or resources.
Comparing generated alternatives
Open all three alternatives and compare their quality scores. Inspect the busiest teachers, practical rooms and classes with many double lessons. Choose the alternative that works best for the school’s actual programme, not only the highest number.
Export and printing help
Use Excel when the school needs editable worksheets and separate sheets. Use Word where authorised staff may adjust presentation. Use PDF for stable printing and sharing. CSV provides portable data for further processing.
Before printing many copies, preview one class timetable, one teacher timetable and the main summary. Check page orientation, school names, days and lesson times.
Cloud saving and backups
Save the timetable during important stages of setup and generation. Recent cloud revisions allow an authorised user to restore an earlier version. Download a backup before major changes, especially when replacing many teachers or allocations.
M-Pesa Express payment help
Select the required premium plan and enter the M-Pesa phone number that will receive the STK Push. Check that the phone has network access and sufficient balance. Confirm the payment request using the M-Pesa PIN on the phone. Never enter or send the PIN through the website, email, WhatsApp or support messages.
Premium access activates automatically after Safaricom confirms a successful transaction. If the prompt is cancelled, times out or fails, wait for the status to update before trying again. Confirm whether money was deducted and keep the M-Pesa transaction code for reference.
Common quick fixes
- Refresh the page once after confirming the internet connection.
- Check that names are consistent in imported records.
- Remove duplicate teachers, classes or rooms.
- Review total weekly lessons against available periods.
- Confirm specialist rooms are not over-allocated.
- Save a backup before large corrections.
Frequently asked questions
Why did I not receive an STK Push?
Check the phone number, mobile network and whether the phone can receive M-Pesa prompts. Retry only after the earlier request has clearly failed or expired.
Why is premium not active after payment?
Allow time for Safaricom confirmation and refresh the account page. Keep the transaction code and use the payment record for follow-up if the status remains unchanged.
Can I restore an older timetable?
Yes. Open cloud backups and choose an available revision carefully, then reopen the timetable workspace.
Which export is best for printing?
PDF is normally best for stable printing. Excel and Word are better when authorised users need to edit the file.
Can another teacher use my login?
Only authorised school staff should access the workspace. Follow the school’s account rules and protect the credentials.
