These school timetable guides help Kenyan schools prepare a checked weekly plan. A reliable timetable begins with accurate school data. These guides help timetable masters and administrators prepare teachers, classes, subjects, rooms and lesson requirements before using the generator. Following the preparation sequence reduces warnings, shortens generation time and produces better alternatives.
School timetable guides: step 1 — define the school week
List every teaching day and the lesson periods available on each day. Record the starting and ending times, breaks, lunch, assemblies and fixed activities. Decide whether all days follow the same pattern or whether some days have fewer lessons. Count the total usable periods before allocating subjects.
Avoid using ordinary lesson slots for activities that must always occur at a fixed time. Enter those activities first so the generator works with the true available capacity.
Step 2: prepare classes and streams
Create every class exactly as it should appear in the timetable. Multi-stream schools should use clear names such as Form 1A, Form 1B and Form 1C. Do not use different spellings for the same class in separate records. Consistent naming is especially important when using Excel import.
Review the number of classes against the available rooms and teachers. A timetable cannot place more simultaneous classes than the school can accommodate.
Step 3: add teachers and availability
Enter each teacher once using a clear name or staff code. Record the subjects and classes assigned to that teacher. Add genuine availability restrictions, but avoid blocking periods merely because they are inconvenient. Too many restrictions may make an otherwise possible timetable impossible.
Use workload summaries to compare assigned periods. If one teacher has an excessive load while another has very few lessons, review the allocations before generation.
Step 4: organise subjects and weekly lessons
Add the subjects or learning areas taught in the school. For each class, specify the number of lessons required per week. Confirm that the total does not exceed the class’s available periods after breaks and fixed activities are removed.
Identify subjects that need double lessons or particular times. Use double lessons only where they support practical work or school policy, because every additional restriction reduces scheduling flexibility.
Step 5: add classrooms and specialist facilities
Create ordinary classrooms, laboratories, workshops, computer rooms, libraries and other scheduled spaces. Link lessons to a specialist room only when the facility is required. If several classes need one laboratory, the room timetable will prevent conflicts and show how heavily it is used.
Using the Excel setup template
Download the template from the timetable workspace and complete the sheets for teachers, classes, subjects, rooms and allocations. Keep headings unchanged and use the same spelling whenever one record refers to another. Remove sample rows that are not part of the school data.
After import, read every validation message. Correct errors in the workbook or in the workspace instead of ignoring them. A clean import is the strongest foundation for successful generation.
Generating and comparing alternatives
Generate the three timetable alternatives and inspect their quality scores. Open class, teacher and room views to check lesson spread, free periods and shared facilities. A high score is useful, but the school should still review practical details before selecting the final version.
If no alternative is satisfactory, adjust the real constraint causing the problem. Do not repeatedly generate identical data and expect a different capacity result.
Final checks before distribution
- Confirm every class has the required weekly lessons.
- Check teacher loads and availability.
- Inspect laboratories and shared rooms.
- Verify fixed lessons, breaks and assemblies.
- Review double lessons and lesson spread.
- Save a backup before major changes.
Exporting and sharing
Use Excel or Word where staff may need editable copies. Use PDF for stable printing and sharing. Print class wall posters for classrooms and teacher posters for staff areas. Keep a complete backup file with the authorised timetable team.
Frequently asked questions
Should we import before entering anything manually?
For large schools, begin with the Excel template. Smaller schools may enter records manually. Either method works when names and allocations are consistent.
Why does validation show missing allocations?
A teacher, class or subject may exist without a complete lesson assignment. Open the allocation records and confirm every required relationship.
What should we do when generation fails?
Check total periods, teacher availability, room capacity, double lessons and fixed periods. The warnings normally point to the limiting requirement.
Can we regenerate after making corrections?
Yes. Save the corrected data, generate new alternatives and compare them with the earlier timetable.
